Cloud software is no longer a trend, but an established standard in countless companies around the world. While SaaS solutions were initially viewed with skepticism in Central Europe, the "software leasing" variant is now also commonplace in Germany, Austria and Switzerland. This is due to the sophisticated security measures of renowned manufacturers such as Atlassian and the legally compliant nature of their cloud software.
Cloud software now even offers a higher level of IT security than many server and data center editions. The reasons for this are obvious: while security updates on your own server or in the data center have to be installed by the customer themselves - usually with a time delay - security updates in the cloud are "all inclusive" and live as soon as they are released. This significantly reduces the risk of cyber criminals being able to exploit security vulnerabilities!
A simultaneous global rollout also means that you can be sure that you are always using the latest version of cloud software with the latest features. Some features, such as AI support and Virtual Agent, have even been developed exclusively for the cloud. Once the assessment has delivered a positive result, the first technical steps are next: Set up your organization/company in Atlassian Cloud Space and verify your domain. Features such as Atlassian Access, Audit Log and Sandboxes offer the highest level of security for your company and your data.
The next step is to assess the scope and complexity of the data to be migrated. Depending on its size, the apps to be migrated, the number of products, users and numerous other factors, it is now time to decide on a migration strategy or method: Lift-and-shift, optimize-and-shift, a phased migration or even a greenfield start are all options.

Once you have decided on a method, prepare your team(s) and the data to be migrated for the change. Depending on the volume and quality of the data, this process can take several weeks. We are also happy to support you here, as data migration is a process that needs to be carefully prepared. Inaccuracies in the definitions or errors in the preparation of the data can have major negative consequences in the end.
Preventive improvement of data quality in the old system and a clear distinction between data records to be migrated and those not to be migrated form the foundation of this process. Data records that have neither been changed nor retrieved for years, contacts to which there has never been a concrete connection or incomplete data records are the chaff that needs to be separated from the wheat.
Migration is also an opportunity to get rid of legacy data. Data that has long since lost its relevance or should perhaps even have been legally deleted long ago, now is the opportunity to clear the air. We are professionals in this respect, as we have already carried out numerous migrations for ourselves and our customers.
Before we get down to business, a detailed test is required. Check with us whether a selected, limited data set is migrated cleanly into the new system. This can also be used to estimate the duration of the overall process and provide a more precise classification of the completion date. The various cloud editions of the Atlassian software offer the appropriate tools for this.
At this point, we also always recommend making a backup of the data to be migrated - safety first! As far as employees are concerned, you should also check before the migration whether the new system will be accepted in the planned form. Are all processes in the cloud set up as your team(s) expect from the system? Or do they still need to be improved?
Every changeover raises concerns. Distinguish between justified, concrete concerns and fundamental concerns. Take your team with you and convince them of the new software. Create a schedule with us and define milestones.

Once the data transfer is complete, the final check is due: Is all the data fully available and are the processes working as desired?
If so, invite selected users to test the new system again. If necessary, make improvements and only move on to step 6 when you are one hundred percent satisfied. Even if you realize that you have probably overlooked one or two things. But don't worry, your employees will be happy to point out the small imperfections that you have overlooked in the next step.
Now is the time to officially introduce the new system into the company. Initial user training is an effective means of onboarding - but it is only the first step. You soon realize that some things work differently than you expected. Users find gaps or errors in the daily load test that were not previously noticed despite all the care taken.
Don't drive yourself crazy, but work through the to-dos in order of importance as a team. Respond to the feedback and change requests of your employees. Experience has shown that after just a few weeks, the number of service requests from the team will drop noticeably, and after a few months, requests will only come in sporadically - and usually on the same topics. Tip: Switch the old Atlassian versions to read-only after the migration. This way, your team will no longer be tempted to continue working with the old system.
